Job Overview:
We are seeking a highly organized and customer-focused Front of House Coordinator to join our team. This role will involve managing the front desk, providing a professional first impression of the company, and supporting our dynamic JVC team of 8-9 members. The ideal candidate will have experience working with property portals, excellent communication skills, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
- Front Desk Management:
- Greet visitors, clients, and team members professionally and warmly.
- Handle incoming calls, emails, and inquiries promptly and efficiently.
- Maintain the reception area, ensuring it is tidy and welcoming at all times.
- Administrative Support for the JVC Team:
- Assist with listing properties on property portals and maintaining accurate and up-to-date listings.
- Coordinate and schedule property viewings and appointments.
- Prepare reports, presentations, and other documentation as required.
- Manage office supplies, filing systems, and other administrative duties.
- Customer Service:
- Serve as the first point of contact for client queries and provide exceptional customer service.
- Address client concerns professionally, escalating them to the appropriate team member when necessary.
- Team Coordination:
- Support the JVC team in their day-to-day operations, ensuring smooth communication and workflow.
- Help organize team meetings, events, and other activities.
Qualifications and Skills:
- Proven experience in a similar administrative or front desk role, preferably within the real estate industry.
- Proficiency in using property portals (e.g., Property Finder, Bayut, Dubizzle).
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- A customer-focused mindset with a friendly and professional demeanor.
Preferred Qualifications:
- Prior experience supporting a team or working in a real estate environment.
- Knowledge of CRM systems is a plus.
- Fluency in English; additional languages are an advantage.
